Privacy policy
The plain-English version of what we collect, why we collect it, and what we never do with your details. Last reviewed September 2026.
What we collect
Only what's needed to plan and run your trip:
- Contact details — name, email and phone number from booking forms and messages.
- Trip details — dates, group size, fitness notes and dietary requirements you volunteer.
- Payment confirmations — we never store card numbers; payments run through a PCI-compliant provider.
- Site analytics — anonymous, aggregated usage data to see which pages help people most.
The short version
We collect the minimum, use it for your trip, and never sell it. That's genuinely it.
How we use it
- Planning and running your trip — route briefs, pickups, dietary prep.
- Replying to your enquiries and sending booking confirmations.
- Occasional seasonal updates if you've travelled with us — opt out with one click, no hard feelings.
- Meeting legal obligations like tax records and safety manifests.
Who we share it with
We never sell or trade personal information. Limited sharing happens only where it's needed for your booking:
- Trip partners — huts, activity operators and hotels get your name and relevant requirements only.
- Payment provider — handles transactions; we see confirmations, not card data.
- Safety records — emergency contacts and medical notes stay with your guide for the trip duration.
Retention & security
- Booking records are kept for seven years — standard NZ tax requirements.
- Medical and dietary notes are deleted within 90 days of your trip ending.
- Access is restricted to the team member handling your booking.
- If something ever goes wrong with your data, we'll tell you straight and tell you fast.
Your rights
Under the NZ Privacy Act 2020 you can:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that's wrong.
- Ask us to delete what we no longer need (we'll flag anything the law requires us to keep).
- Complain to the Office of the Privacy Commissioner if you're not happy with our response.
